This Privacy Policy explains how Samuel Chapman Retail Business Coaching, operated by Best Hairdresser Ltd (company number 14483474) ("we", "our", "us"), collects, uses, and protects your personal data when you visit samuelchapman.com, follow us on social media, join Retail Growth Partnership or any other programme, purchase a course or store review, or otherwise get in touch.

We are a UK-based data controller and this policy is written to comply with the UK GDPR, the Data Protection Act 2018, and the Data (Use and Access) Act 2025 (DUAA).

2. Information We Collect

A. Information you give us directly

  • Name, email address, phone number, and business name, when you enquire, book a call, download a resource, or buy a course, store review, or coaching programme.

  • Payment and billing details, processed by our payment providers, not stored on our own systems.

  • Your responses in application or intake forms, surveys, and store review prep documents.

  • Messages sent to us via Instagram DM, email, or our booking system.

  • If you join a coaching call, the call is recorded via Zoom for the purpose of delivering the session, keeping an accurate record of what was discussed and agreed, and improving our coaching. Recordings are stored securely and only kept as long as necessary.

B. Information collected automatically

  • IP address, browser type, device information, and general location.

  • Pages visited, time on site, and click activity, via Google Analytics.

  • Interaction with our marketing, via the Meta Pixel.

  • Cookies and similar technologies, as set out in section 5.

4. Marketing & Communication

If you subscribe to our newsletter, download a resource, or opt in during checkout, we may email you about retail growth content, new resources, and upcoming offers. You can unsubscribe at any time using the link at the bottom of any email, or by emailing success@samuelchapman.com. We do not sell or rent your email address to anyone.

5. Cookies

We use a cookie consent banner that lets you choose which non-essential cookies to accept before they load, including the Meta Pixel and Google Analytics.

Some cookies are strictly necessary for the site to function, or are used only for anonymous, low-risk statistical purposes to improve site performance. Under current UK law these may be used without prior consent, but we still give you clear information about them and a way to opt out at any time via our cookie settings.

You can also control or delete cookies through your browser settings, though this may affect how parts of the site work.

6. Data Storage & Security

Your data is stored and processed on the following platforms, appropriate to the purpose of each:

  • Website hosting: Wix

  • Checkout and payments: SamCart, Stripe, PayPal

  • Email marketing: AWeber

  • Booking: Calendly

  • Instagram DM automation: ManyChat

  • Ads reporting and analytics: Windsor.ai, Google Analytics, Meta Pixel

  • Coaching call recordings: Zoom

  • Legacy membership platform: Skool (for existing Retail Growth Hub members; we are not actively adding new members to this platform)

  • AI-powered tools used in our checkout process: hosted on Replit, using the Anthropic API

We use appropriate technical and organisational measures to protect your data from loss, misuse, or unauthorised access. We only give our team and service providers access to the data they need to do their job.

7. Sharing Your Data and International Transfers

We never sell your personal data. We share limited data only with the trusted service providers listed in section 6, so they can perform the services we use them for. These include providers based in the United States and other countries outside the UK.

Where your data is transferred outside the UK, we rely on legally recognised safeguards, such as the UK's International Data Transfer Agreement, Standard Contractual Clauses, or the provider's participation in a recognised data protection framework. 8. Your Rights

Under UK GDPR, you have the right to:

  • We will investigate and keep you informed of progress.

  • We will tell you the outcome without undue delay.

10. Data Retention

We keep personal data only as long as necessary:

  • Client and coaching records: for the length of our working relationship, then up to 6 years afterwards to meet HMRC and accounting obligations.

  • Newsletter subscribers: until you unsubscribe, or after 24 months of inactivity, whichever is sooner.

  • Enquiries that don't convert into a client: up to 12 months, then deleted.

  • Payment and invoicing records: 6 years, as required by law.

  • Coaching call recordings: up to 12 months after the call, then deleted, unless you ask us to delete them sooner.

11. Children

Our services are for business owners and are not directed at, or marketed to, anyone under 18. We do not knowingly collect personal data from children.

12. Links to Other Websites

Our website and content may link to external sites, such as Instagram, YouTube, or Skool. We are not responsible for the privacy practices of these third-party sites, and recommend reviewing their own policies.

13. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised "Last updated" date. We'll let you know about significant changes where required.
